Below are some notes we have just written up in our team that may help answer the questions raised. As from Oct. 2008, following PCC (Program for Cooperative Cataloging) practice, the 440 field is no longer used to record a series statement. All monograph-in-series records have a 490 1 for the series statement as shown on the item and an 8XX field for the authorised series heading or the series title from the serial record. Using the 440 for the series statement (No longer current practice) The 440 was used when the series title on the item exactly matched the title on the serial record. Any existing 440 fields will not be changed. Using the 490/8XX for the series statement
From Oct. 2008, the 490/8XX fields are used to record the series. The 490 records the series statement as it appears on the item and the 8XX is used for the authorised series heading (or the series title if not authorised). The 8XX field is usually an 830 but it can also be a 800 (for a personal name main entry series) or an 810 (for a corporate body name main entry series).
The series statement in the 490 may be exactly the same as the authorised series heading/series title in the 8XX. e.g. 490 1 _ $a NZ Transport Agency research report, $x 1173-3756 ; $v 358 830 _ 0 $a NZ Transport Agency research report ; $v 358. (Series title on item and in authority record: NZ Transport Agency research report) It will differ when a variant form of the series title has been used on the item. e.g. 490 1 _ $a Environment Waikato technical series, $x 1172-4005 ; $v 2007/04 830 _ 0 $a Environment Waikato technical report ; ‡v 2007/04. (Series title on item: Environment Waikato technical series; series title on serial record: Environment Waikato technical report. There is no series authority record) If there is a variant series title on the item, remember to check the serial record to make sure it has been recorded there. If you add a variant title and the serial record has an ISSN, print out the record and pass on for ISSN work. It will differ when a uniform title has been created for the series. e.g. 490 1 _ $a Inaugural professorial lecture, $x 1173-8987 ; $v 2004, no. 5 830 _ 0 $a Inaugural professorial lecture (University of Otago) ; $v 2004, no. 5. (Series title on item: Inaugural professorial lecture; authorised series heading: Inaugural professorial lecture (University of Otago)) The 490 field may contain a statement of responsibility if the corporate body/personal name appears in conjunction with (i.e. next to) the series title. e.g. 490 1 _ $a Environmental report / Environment BOP, $x 1172-5850 ; $v 2001/03 830 _ 0 $a Environmental report (Whakatane, N.Z.) ; ‡v 2001/03. I'm the cataloguer at the Far North District Libraries and am struggling with the new series rules. Can anyone advise how the 490 and 8XX are to work? My understanding is that the 490 tag is not searchable. Therefore, an 8XX tag is used. Would this normally be an 800 with the author's name followed by the series title? When is an 830 tag used? What are you doing about a series that currently has 440 tag and new items come in for the same series? Are you changing all the 440s for that series to 490 and adding the appropriate 8XX tag?
