Reception Desk, Reception and Dinner Guidelines

  • Registration Desk Location: Main conference venue.
  • Wednesday, 19 November: Registration desk will be open from 15:30 to 18:00, followed by a welcome reception. Please note that your name badge is required to attend the reception, so make sure to collect it from the registration desk if you plan to attend.
  • Thursday 20 November and Friday 21 November: Registration desk will be open daily from 08:30 to 17:30.
  • Dinner will be hosted at Tākina Wellington Convention and Exhibition Centre on Thursday, 20 November, from 6:30 p.m.Dinner tickets will be prepared for those who have purchased them. Please collect your ticket from the registration desk (the dinner ticket and name badge will be provided together) and bring it with you to the dinner.

Oral Presentation Guidelines

For in-person presentation:

  • Total duration: 15 minutes (12 minutes presentation + 2 minutes Q&A + 1 minute changeover).
This timing is essential to maintain the hybrid schedule and will be strictly enforced by session chairs.
  • Given the broad audience of IVCNZ, we recommend spending the first few minutes introducing and motivating your research before diving into technical details.

For online presentations:

  • Please prepare a pre-recorded video (high quality/resolution suitable for large screen display).
  • Email your slides and video (with your paper ID) to ivcnz2025@ecs.vuw.ac.nz by Friday, 14 November. If the video file is too large, please provide a downloadable link.
  • The presenter must still attend the session live to ensure interaction and backup in case of technical issues. The pre-recorded video will serve only as a contingency.
  • Please join the Zoom session 15 minutes before your scheduled time and remain muted until we connect and start your presentation. Shared Zoom link for online oral presentation :

  • After the presentation, the presenter will take questions from onsite attendees. If any network or device issues occur, the backup video will be played by default, and the questions will be sent to the paper’s contact person as needed.

Poster Session Information

The poster presentation includes both a poster barking session and a poster display session for interaction with attendees. Poster presenters are required to participate in both sessions.

Poster Barking Session

  • There will be a poster pitching (barking) session on Thursday, 20 November, where each presenter will have 2 minutes total to briefly introduce their poster using slides.
Please keep your presentation within 1–1.5 minutes to allow for transitions.
  • For in-person poster barking presenters: Please send your slides (including your paper ID) by 17 November so that we can load them in advance and minimise transition time during the session.
  • For online poster barking presenters: Please prepare a pre-recorded video of your barking presentation (in high quality/resolution suitable for large-screen display). Email your slides and pre-recorded video (including your paper ID) to ivcnz2025@ecs.vuw.ac.nz by 17 November. And the presenter must still attend the session live to ensure interaction. The pre-recorded video will be used only as a contingency.
  • For all online Barking presenters, please join the Zoom link https://vuw.zoom.us/j/99934510676 before 11:20 a.m. and wait until we begin the online presentations. We will announce each paper at its scheduled time.
  • For all poster barking presenters, if the video file is too large, please provide a downloadable link instead of attaching it directly.

Poster Session

  • Following the barking session, the poster display and discussion session will be held around lunchtime.
  • In-person presenters: Please bring your printed poster to the venue.
  • Online Presenters: Your poster (PDF format) will be uploaded to the conference website in the "Online Poster Gallery" (here https://ecs.wgtn.ac.nz/Events/IVCNZ2025/OnlinePosterGallery), with a dedicated Zoom link provided for online display and discussion with attendees. Please email your PDF poster, including your paper ID, to ivcnz2025@ecs.vuw.ac.nz by Friday, 14 November. Presenters are expected to be present on their individual Zoom link during their poster session.

Poster Preparation Guidelines

  • Size: Up to A0, portrait orientation.
  • Clearly present your research objectives, methods, results, and conclusions.
  • Use large, readable fonts and visuals (figures, charts, images) to enhance engagement.
  • Keep text concise and highlight key findings.
  • Include your paper title, author names, and affiliations at the top.
