Collection Services acquires and makes accessible material for the collections of the National Library and the Alexander Turnbull Library. The Serials Cataloguing Team is responsible for the description of serials and monographs-in-series in the collections. We are looking for a qualified librarian to join us at the National Library of New Zealand for a one year full time position. This person will assist with a retrospective cataloguing project, retrieving and describing New Zealand and Pacific monographs-in-series. Original cataloguing in RDA - Christchurch course

Dear colleagues The National Library of New Zealand is planning to conduct a 3-day course Original Cataloguing in RDA at the University of Canterbury in Christchurch from 31 July to 2 August 2013. Three days is not sufficient to cover every aspect of RDA but the course will provide a starting point for original cataloguing in the new standard. It covers the basics of cataloguing using RDA with an emphasis on monographs, as well as use of the online toolkit. Content will be delivered using presentations, discussion and practical exercises. The course is built on materials developed by the National Library of Australia for their Resource Description and Access : train the trainer course. It will held at the University of Canterbury on July 31, August 1 and 2, 2013. The cost to attendees is not finalised but will be limited to catering. Attendees are responsible for their own travel related expenses. Copies of the full documentation will be made available online and should be printed out by attendees prior to the course. In addition, there will be precourse reading. Prerequisites It is expected that those attending the course have an excellent working knowledge of AACR2 and will have access to the RDA toolkit in their library by the end of July 2013. RDA training for cataloguers

CatSIG is currently working with Deborah Fritz from The Marc of Quality to provide training in copy-cataloguing between late August and the end of October 2013. Workshops will be offered as 1-day sessions, both face-to-face and online using the Go To Meeting software. Deborah's course is RDA/MARC for copycats: searching, matching & essential editing. Here is a message of thanks posted on behalf of Lynne Huddleston: Thanks for getting back to me Janess and thank you to the other Librarians for their helpful comments and suggestions. I suppose that what I was really thinking about was actually a group meeting with a trainer to get a basic idea of how RDA works. So not so much about how or why it was developed, but more about what RDA is and how to actually implement it as simply as possible, with some good hands on examples of how to catalogue using it. Or is it a case of just importing records that are already catalogued in this way? Personally I dislike Webinar sessions, and as you can probably guess I'm not a fan of on-line training either. Having said that, I will certainly use Help buttons, and internet Q & A's etc when I need to. I have clicked on the links you've provided.. and to me it's like another language with all those acronyms. It seems to me that RDA is very difficult, but maybe it's actually not difficult at all, I just don't have a clue about it. I think you just can't beat actually listening to, and being able to ask questions of, a real person who is actually present. That means the trainer can get a feel for the group and tailor their presentation as they go. I know you can ask questions on a Webinar but I find it difficult, you're interrupting the flow of the speaker, it's tricky - almost embarrassing. I don't think I've learnt anything from the Webinars I've participated in, but I've come to grips with Te Puna from just one introductory session with Ann Barrie, and learnt heaps about copyright from another session with Tony Millett, nailed Endnote from a great session with Charlotte Clements and mastered Web of Knowledge with training from Steven Werkheiser...people who are experts in their fields, but who can get down to basics. I'm not suggesting that this is something that is needed right away, but just something that you could possibly bear in mind for the future. Please don't think that this is a criticism of all the excellent material and work you and your colleagues have provided on RDA, it's not at all, I'm just a different target audience from your experienced cataloguers. Thank you for the questions that have been posted to the lists about RDA training in response to my email. It is always encouraging to see interest in RDA. For people in Lynne's position, CatSIG recently offered Deborah Fritz's course "Rudimentary RDA" as a webinar and more sessions are planned for August and September. Details about the content of Deborah's course is available at http://www.marcofquality.com/trn/trnindex.html CatSIG is currently in discussion with a provider for courses in using RDA for copy cataloguing. CatSIG will be calling for expressions of interest in the very near future to determine the number and location of cataloguers requiring this training. If anyone is interested in some introductory material about RDA, I recommend the material on the DescribeNZ wiki, in particular the presentations from the CatSIG seminars held last year with Barbara Tillett as the guest presenter. They are all available at http://nznuc-cataloguing.pbworks.com/w/page/59180786/Presentations%20from%2… In response to Paul's observation, the 3-day course covers full original cataloguing applying RDA instructions and using the RDA toolkit. We have found that 3 days is necessary to cover the content in sufficient depth. Changes to LC/NACO authority records

Dear colleagues, In preparation for Resource Description & Access (RDA), the Library of Congress (LC) has implemented the second phase of changes to their Name Authority File, which also contains name authority records created by Name Authority Cooperative Program (NACO) members including the National Library of New Zealand. Phase 2 changes are automated changes to 1XX access points/headings, 4XX See references and 5XX See also references in authority records that are not acceptable under RDA. These changes include the modification of Bible and Koran headings and the spelling out of abbreviations such as Dept. and months. For full details of the changes, see Summary of programmatic changes to the LC/NACO authority file at http://www.loc.gov/aba/rda/pdf/lcnaf_rdaphase.pdf See references for the AACR2 heading are added to each changed authority record. Some New Zealand examples of 1XX access points/headings that have just been changed are: New Zealand. Department of Conservation University of Canterbury. Department of Civil Engineering Gordon, Harry, 1925 November 9- Warner, Lionel, -1986 Occasional publications (Victoria University of Wellington. Department of Politics) These changes began last week and will continue for the rest of March until all identified access points/headings have been changed. The order of these changes is based on the order in which the authority records were originally created and the change to one authority record does not trigger a change to related authority records or to records with an extension of that name. This means that in the short term 500 See also references in some authority records could be changed before the 100 access point/heading they refer to. These changes will result in a considerable amount of bibliographic file maintenance which will be worked through both globally and manually over the coming weeks. Resource Description & Access (RDA) Update March 2013

RDA Implementation The National Library will start using RDA as the standard for descriptive cataloguing of textual monographs (both print and digital) from early April 2013. We will continue to use existing AACR2 records for older material and for non-New Zealand material, but all new records will follow RDA. Other formats will be phased in over the next few months as we develop our cataloguing policies and workflows. We expect to be using RDA for all materials, with the possible exception of rare books, by December 2013. RDA Training In February, the National Library cataloguing team leaders (Chris Todd, Janess Stewart and Andra Patterson) presented a pilot National Library of New Zealand version of the National Library of Australia's RDA Train the Trainer course to a group of cataloguers in Dunedin. We plan to offer further courses after May 2013, once our RDA implementation is underway. These terms include: * Mate has been redefined as Health problems, and the scope note clarified to encompass any affliction affecting the body or mind; * The scope of Mate rereke, which encompasses mental, physical, or spiritual illnesses, has been expanded to include a new Heke/Narrower Term of Mate whakamomori, which is used for suicide; * Hunga mahi toi, the term for Maori artists, has been revised to make it clear that 'artists' encompasses poets, carvers, designers, performance artists, tā moko artists, weavers, and writers. Hunga mahi toi also includes a new Heke/Narrower Term, Kaiwhakatangi, which is appropriate for all kinds of musicians; * Hangarau, the term for technology, has been expanded to include a new Heke/Narrower Term of Taputapu, which covers equipment, goods, tools, utensils and gadgets; * Tangata, the term for people of Maori identity and descent, has a new Heke/Narrower term of Toa, which can be used to describe achievers of all kinds - whether top sportspeople, entrepreneurs, business people, or warriors. Pilot RDA cataloguing course

Apologies for cross-posting. Dear colleagues The National Library of New Zealand (NLNZ) is planning to conduct a pilot course in Original Cataloguing in RDA in Dunedin in February 2013. The intention is that, if successful, this would be followed by courses in other parts of the country. The NLNZ intends to transition from cataloguing with AACR2 to RDA around April 2013. Three days is not sufficient to cover every aspect of RDA but the course will provide a starting point for original cataloguing in the new standard. It covers the basics of cataloguing using RDA with an emphasis on monographs, as well as use of the online toolkit. Content will be delivered using presentations, discussion and practical exercises. The course will use the materials developed by the National Library of Australia for their Resouce Description and Access : train the trainer course. It will held at the University of Otago on February 19, 20 and 21, 2013. The cost to attendees is not finalised but will be limited to catering. Attendees are responsible for their own travel related expenses. Copies of the full documentation will be made available online and should be printed out by attendees prior to the course. In addition, there will be precourse reading. Prerequisites It is expected that those attending the course have an excellent working knowledge of AACR2 and will have access to the RDA toolkit in their library by the end of February 2013. Subscriptions to the toolkit are available to New Zealand libraries via EPIC http://epic.org.nz/about-epic/subscription-options#Opt-in Expressions of interest Places on this pilot course are limited to a maximum of 12 participants, so please register your interest by submitting an expression of interest (EOI) with the following information: · Name and contact details · An indication of what you hope to gain from the training and how you might use it in your library EOIs should be submitted by email to janess.stewart(a)dia.govt.nz<mailto:janess.stewart@dia.govt.nz> by close of business on Thursday 24 January 2013. A variety of state and regional groups are offering various programs, workshops, etc. In general, paying for training offers the ability to ask questions as you go. Free material requires more self-motivation to navigate and may have a scope or focus beyond your immediate needs. One must therefore balance time and money investments in choosing which route to follow. In the end, nothing replaces access to and working with the actual standard though. Catalogers currently trained in AACR2 may find the "backdoor" access of the online Toolkit's mapping from AACR2 to RDA to be particularly beneficial at first -- the FRBR underpinnings of RDA results in some unexpected locations for various rules (the new locales make sense when one reflects on things, but can be challenging to find in the heat of the moment). The print version offers an access model that may be more financially palatable, at the detriment of lacking the online version's bells and whistles, and of being somewhat out of date. John F. Lots and Lots of training. Repetition to become familiar with the concepts and applications. I noticed the LC RDA training courses can be helpful, but some were prepared in March, and a lot of things have changed since then. I got a bit lost because the version of RDA I was looking at on my computer did not look the same as the version in March 2012, so once you get past that and past the increasing amount of outdated information shared, they can be helpful. Since my emphasis is authority control, I am getting the most out of MARC21 for Authority data and cross-checking against RDA, LC PCC PS, LC guidelines and DCMZl. I was worried I was getting too old to pick up this new way of looking at things, but I think I may have a handle on it...only because we have been going over and over and over these principles. Thank you for the links Chris and for the tips on searching for RDA records in the NUC. Auckland Libraries will find these useful. I have just checked and found that we have over 680 RDA records so far. Our answers to the questions below are: a) Any reactions to the records from other staff and users: No reactions or questions so far that we are aware of. This may be partly because we have chosen not to display the 336-338 fields in our OPAC. b) How the records display in your OPAC and how the new fields are (or aren’t) indexed: o We have suppressed the 336, 337 & 338 from display in the OPAC and in AquaBrowser. We have no plans to index these fields, although would like to look at the potential for adding them as filtering/faceting options in future. o We display the relationship designators in the full record only but are not indexing them. c) Anything about these records that you are having to change at the moment so that they work in your system: o We have had MARC updates 9-13 applied to Millennium and are in the process of having MARC update no. 14 applied (it is on our Test system currently). Cataloguers are changing the 264 field in RDA records to 260 in the meantime in order not to have it display as an invalid field. We are updating our indexes also but not for RDA specifically. For RDA, we only have the addition of the 518|d, |o and |p fields so far. We would be interested to know if other libraries are or plan to index other fields. d) Anything about these records that you have questions about and are wondering how or whether to edit: We are bound to have questions in time but do not so far at the moment as far I am aware. The three Auckland Libraries team leaders have started work on an RDA copy-editing cheat sheet for our cataloguers. We hope to complete this soon and will be happy to share. RDA Update from National Library

Hi All, The National Library cataloguers are now up to our fifth week of RDA training. We are working in 3 groups of 7 or 8 people and we schedule 4 hours each week for RDA. The rest of the time it's business as usual. The normal pattern for the 4 hour session is: * 10-15 minutes recap and questions from the previous week. * 1 hour - 1 1/2 hour powerpoint presentation on the topic for the week * the group then practice individually or together * for the last 30 minutes the group gets back together to share questions, examples or other items of interest We are using the LC training presentations as the basis for our training, however we edit and remove slides depending on their relevance to our situation. Mostly we are removing slides that emphasise less common situations as we want to be sure that we have a good grasp of basic principles applied to records for normal resources. We have completed work on describing manifestations and items (with an emphasis on print monographs) and in the week beginning November 12th we will start looking at identifying works. This part of our training is available on the DescribeNZ wiki http://nznuc-cataloguing.pbworks.com/w/page/60600175/RDA%20Training%20Part%… Our draft RDA cataloguing policies are also available on DescribeNZ. As we work our way more carefully through the RDA instructions we are identifying areas where we might want to review our original policies, so these draft policies could well change over the next few months. We also continue to follow news about RDA and the Bibliographic Framework developments on various listservs. The three Cataloguing Team Leaders (Charlotte Stretton, Janess Stewart and I) will be in Canberra from November 6-9 attending the National Library of Australia's RDA Train the Trainer course. I will send out another update reporting on that training when we get back. RDA records in Wellington City Libraries' catalogue

Hi All Thanks for that message Chris, WCL's catalogue currently includes about 130 RDA records residing (almost) happily alongside the AACR2 ones. In answer to your four questions: A) No reactions so far from staff outside cataloguing, or our patrons B) & C) As we can dictate (through the use of what are called "Bib forms") what tags/subfields can display in our OPAC (our in-house system is CARLX) there is no problem with display of the full record, although currently we do have a problem with the 264 tag, subfield "c" in the search results lists - our parameters generate publication date display in short title records (in all modules) from 260/c, so any RDA records with a 264 tag will not display a date - we have requested a change to our parameters from the CARL/TLC folk but I don't think that will happen in a hurry - therefore we have decided (for now) to change the 264 tag to a 260 tag in our own system after bringing the record in. D) We do not edit any RDA records on the NUC and do minimal editing on them in our own system - mainly because a little knowledge is a dangerous thing! - but sometimes add pagination, or fix the copyright date symbol. I have been looking at documentation on the internet which has been helpfully put up there by some caring cataloguers - there are some editing cheat sheets which may be useful on the Special Libraries Cataloguing site:- http://special-cataloguing.com/node/1408 & lately I have been looking at Yale University's documentation - an example here re the 264 tag:- http://www.library.yale.edu/cataloging/Orbis2Manual/CIP2RDA.htm & I have also gone through LC's "Using the RDA toolkit" document:- http://www.loc.gov/aba/rda/pdf/ToolkitCourse.pdf to help with navigating the RDA rules universe. We will have to develop, or are willing to work with others to develop, some kind of cheatsheet or a set of guidelines for how to deal with editing CIP RDA records - at the moment we are just letting sleeping dogs lie pretty much, but that can't last ... RDA Records in NZ library catalogues

Hi All, Janess, Charlotte and I have been thinking about what might be helpful for people in dealing with RDA right now - with more records becoming available and while we're still in a pre-implementation period. Here are some thoughts that we hope might be useful 1. Looking at RDA records so that we gain some idea of their content and some of the differences between RDA and AACR2. The recent CatSIG RDA seminar included an activity looking at records. This is available on the DescribeNZ wiki at http://nznuc-cataloguing.pbworks.com/w/file/59465135/Identifying%20RDA%20Re… It is also possible to look for RDA records in the NUC, the New Zealand Libraries Catalogue and the National Library's own catalogue, by searching on the keyword "rdacarrier" 2. Assessing how RDA records function in our catalogues at the moment. Some libraries will already have quite a few RDA records in their catalogues and it would be useful share experiences of a) any reactions to the records from other staff and users b) how the records display in your OPAC and how the new fields are (or aren't) indexed c) anything about these records that you are having to change at the moment so that they work in your system d) anything about these records that you have questions about and are wondering how or whether to edit. National Library of New Zealand has about 100 RDA records in our catalogue at the moment. Our answers to the above questions are as follows: a) With so few records it's no surprise that we have had no comments from other staff about any changes (with the exception of one former cataloguer who noticed some differences in record content). b) At present our Voyager OPAC doesn't display the 336-338 fields (the content type, media type and carrier type fields) but these fields are indexed in the general keyword index. The new MARC 264 field covering publication/ distribution, copyright, etc. also doesn't display in the OPAC. We will look at getting this changed. Relationship designators (e.g. author, illustrator, librettist) display in the OPAC and are indexed in the general keyword index. c) With so few records coming in at this stage, we have done virtually no editing. The one change we made to a record was to get the copyright symbol to display correctly. d) We haven't had any RDA records come in that seemed to need lots of changes yet, although we realise that we will need to look at CiP records at some stage. I'm hoping the comments that come in for c) and d) will help us develop some kind of cheatsheet or set of guidelines to deal with RDA records in this transition period. If there are libraries that have already developed something of this sort, or found someone else's guidelines that you are following, it would be great if you were willing to share this with the rest of us. Enhanced bibliographic records on the NUC

Upgraded records As part of the Maximising Te Puna Value programme, the National Library of New Zealand recently made available in the National Union Catalogue (NUC) its back files of pre-publication ISSN and ISBN records. We will continue to add these records and Cataloguing-in-Publication (CiP) records to the NUC as part of our standard workflow. All of these records are for resources that fit the scope of the New Zealand National Bibliography: http://nznuc-cataloguing.pbworks.com/w/page/57060042/Scope%20of%20the%20New… The National Library is now offering monthly MARC files of bibliographic records that have been upgraded to full records on the NUC. The files include: · records that were previously ISSN or ISBN or ISMN pre-publication records * records that were previously CiP records * records that were previously short records added by other libraries Libraries will be able to use these MARC files to upgrade in their local systems short bibliographic records that they have brought in previously from the NUC. These records are only for material in scope for the New Zealand National Bibliography. The files are available on the National Library website at http://beta.natlib.govt.nz/librarians/te-puna/te-puna-records Tables of Contents (TOCs) Since 2010 cataloguers at the National Library of New Zealand have been adding table of contents information to records for New Zealand published material in accordance with the policy available on the DescribeNZ wiki: http://nznuc-cataloguing.pbworks.com/w/page/38345509/National%20Library%20o… A recent project to add TOCs to New Zealand and Pacific monographs published between 2005 and 2009 resulted in nearly 2000 TOCs being added to bibliographic records on the NUC. Ten Dewey-sequenced MARC files have been created and libraries will be able to use these MARC files to upgrade bibliographic records in their local systems that they have previously brought in from the NUC. The MARC files of these records are available on the National Library website at http://beta.natlib.govt.nz/librarians/te-puna/te-puna-records Book awards The National Library of New Zealand has been addding notes to bibliographic records when a publication is the winner of a major New Zealand book award e.g. the New Zealand Post Book Awards. A MARC file of these records has been created and libraries will be able to use them to upgrade bibliographic records in their local systems that they have previously brought in from the NUC. CatSIG RDA Seminars

Apologies for cross-posting. Thank you to everyone who attended an RDA seminar at the end of last month. We were very fortunate in having Barbara Tillett as our key speaker. The feedback from the Palmerston North and Dunedin groups has been very positive. The Auckland group also had a great atmosphere, but as we didn't deliver their evaluation forms until after the seminar, we haven't heard back from people yet. The main issue identified was the time constraints in Palmerston North which limited the opportunities for discussion. There are two main messages that came through, both at the seminars and in your evaluation forms. 1. People would like more practical engagement with RDA. The activity that involved examining records was very well-received. 1. One size will not fit all when it comes to RDA training. Libraries vary in the amount of original cataloguing versus copy-cataloguing that they do. They vary in their use of the MARC format. They vary in the ways they are able to interact with their library system, and the best time to think about moving to a new cataloguing standard also varies from library to library. So where to from here? 1. The three National Library cataloguing team leaders are definitely attending the National Library of Australia's RDA Train the Trainer course in early November. This will provide us with training and materials that we could use to offer some form of RDA training in New Zealand, depending on all those variables I mentioned above. 2. The first impact of RDA that is affecting libraries is the increase in the number of RDA records coming in to the NUC from OCLC. I will send a separate email, after Labour Weekend, to start some discussion about how different libraries are dealing with RDA records at present. I'm hoping that this discussion can lead to the development of factsheets or guidelines that we can all use during this transition period. I will be on leave next week, but back again after Labour Weekend to continue this work. If people have thoughts about RDA training please do send them to this list or directly to me if you prefer. The new bibliographic framework project will be focused on the Web environment, Linked Data principles and mechanisms, and the Resource Description Framework (RDF) as a basic data model. Zepheira, led by Eric Miller, has been active in the development of Semantic Web and library standards as well as open source tools to support linked data technologies and library applications. Zepheira will provide both a model (or models) to serve as a starting point for discussion and an analysis of related initiatives. The Library anticipates an iterative process, drawing from feedback from the community, and a subsequent progression of requirements. The stated goals are a flexible bibliographic framework, a robust reference code, a supporting infrastructure for deployment, and an effective migration plan from MARC to a new framework. Changes to LC/NACO authority records

Dear colleagues, In preparation for RDA, the Library of Congress (LC) has implemented two phases of changes to their Name Authority File, which also contains name authority records created by Name Authority Cooperative Program (NACO) members. Phase 1 of the programmatic changes to the LC/NACO Name Authority File has recently been completed and the revised authority records have been added to the National Union Catalogue (NUC). This first phase involved authority records that have 1XX fields that cannot be used in RDA bibliographic records without review and that cannot be changed mechanically. The 1XX has not changed but a 667 has been added to say that the record cannot be used under RDA until it has been reviewed or updated. This phase affected over 400,000 authority records. Cataloguers working in the NUC will see authority records that contain the following 667 field: THIS 1XX FIELD CANNOT BE USED UNDER RDA UNTIL THIS RECORD HAS BEEN REVIEWED AND/OR UPDATED Some examples are: SJD (Musician) Ihimaera, Witi, 1944- Wool Research Organisation of New Zealand Please note that the name headings in these authority records are still valid for use in AACR2 bibliographic records. The NACO Team at the National Library of New Zealand can identify those changed authority records with an Nz in the 040 and will review these when they have finished their training in RDA authority records. The second phase will start as close to Day 1 of RDA implementation (i.e. March 31, 2013) as possible and will involve modifying AACR2 authority records with 1XX, 4XX and 5XX fields that can be changed mechanically, e.g. changing Dept. to Department and b. to born. These changed authority records will be updated in the NUC as we receive them. Both these phases will involve a relatively small proportion of authority records. The vast majority of AACR2 authority records have headings that can be used under RDA without modification and these will be re-coded as RDA authority records after March 2013. First Instalment of National Library RDA training available on DescribeNZ

RDA Training Options

The National Library is looking for expressions of interest from cataloguers interested in developing ideas around RDA training in New Zealand. This will include identification of existing training opportunities, training providers and relevant materials. We will also be looking for information on the training needs of different types and sizes of library as a followup to the training survey of 2010. We are not expecting the members of this group to write or develop training materials. We're looking for your ideas, your opinions of existing training materials and your ability to identify any gaps in training options. At this stage we anticipate that communication will be by email, rather than face-to-face meetings. If you are interested please contact me by August 17th.
